Terms of Service
These Terms and Conditions (“Terms”) set out the agreement between Vets Let’s Travel (“we,” “us,” “our,” or “the Company”) and the client (“you,” “your,” or “the Client”) regarding the use of our mobile veterinary services.
By booking an appointment, confirming a quotation, or using any of our services, you agree to comply with and be legally bound by these Terms.
Please read these Terms carefully before confirming your booking. If you do not agree with any part of these Terms, you should not proceed with a booking or use our services.

Vets Let’s Travel is a UK-based mobile veterinary service providing professional, at-home veterinary care for pets, including consultations, vaccinations, microchipping, senior pet care, travel documentation, and end-of-life services.

All veterinary services are carried out by RCVS-registered veterinarians and qualified veterinary professionals.
These Terms apply to all services provided under the Vets Let’s Travel brand.
Service Description
We provide a range of professional veterinary services, including but not limited to:
- Home Veterinary Consultations: Health checks, examinations, and treatment recommendations.
- Vaccinations and Preventative Care: Routine vaccinations, parasite control, and wellness advice.
- Microchipping and Documentation: DEFRA-compliant microchipping and registration.
- Senior Pet Care: Mobility support, medication reviews, and ongoing monitoring for elderly pets.
- Animal Health Certificates (AHCs): Issued for international pet travel in compliance with DEFRA and APHA standards.
- Home Euthanasia: Compassionate, dignified end-of-life care in familiar surroundings.
All quotations are valid for 14 days unless otherwise stated.
Booking Process
A booking is confirmed only when:
- The Client has received and accepted a written quotation or appointment confirmation from Vets Let’s Travel; and
- Any required deposit has been received and acknowledged in writing.
Once confirmed, these Terms become legally binding.
Provisional Bookings:
Provisional bookings are held for up to 48 hours. If no confirmation or payment is received within this period, the appointment may be released to another client.
Pricing and Payment Terms
All prices are quoted in GBP (£) and include VAT where applicable.
Deposits:
A non-refundable deposit (typically 25–50% of the total fee) may be required to secure your appointment, particularly for travel documentation or special services.
Final Payment:
Full payment must be made on or before the day of your appointment, unless otherwise agreed in writing.
Payment Methods:
We accept:
- Bank transfer
- Credit or debit card (via secure payment link)
- Invoice payment for approved corporate or partner accounts
Late Payments:
Overdue invoices may incur an administrative fee of £25. Continued non-payment may result in cancellation and legal recovery of outstanding fees.
Cancellations and Refunds
Client Cancellations:
Cancellations must be made in writing via email. Refund eligibility is based on the notice period:
- More than 48 hours’ notice: Deposit retained; remaining balance refunded.
- 24–47 hours’ notice: 50% of the total booking fee retained.
- Less than 24 hours’ notice or no-show: 100% of the total fee retained.
Deposits are non-refundable once booking confirmation has been issued.
Company Cancellations:
In the unlikely event that Vets Let’s Travel must cancel due to unforeseen circumstances (such as illness, vehicle breakdown, or severe weather), we will:
- Provide as much notice as possible; and
- Offer either a full refund or an alternative appointment date.
We are not liable for additional costs or losses beyond the refund of direct payments made to us.
Appointment Changes
If you need to change your appointment time, date, or location, please contact us at least 24 hours before your scheduled visit.
Changes made within 24 hours of the appointment may incur a call-out or rescheduling fee.
Travel and Access
We provide mobile veterinary services across the UK. The Client is responsible for ensuring:
- Safe and suitable access to the property for our vehicle and veterinary staff.
- Pets are present and available at the scheduled appointment time.
- Any building access restrictions or parking limitations are communicated in advance.
If access is delayed or unavailable, the appointment may be shortened or rescheduled at an additional cost.
Health and Safety
All veterinarians follow the health, safety, and clinical standards of the Royal College of Veterinary Surgeons (RCVS) and DEFRA.
Clients must provide a clean, safe, and suitable environment for examination or treatment. If a location or pet is deemed unsafe (for example, aggressive behaviour or unsuitable conditions), the vet may decline or postpone the service until safety can be ensured.
Medical Information and Records
The Client must disclose accurate and up-to-date information regarding their pet’s medical history, medications, allergies, and previous treatments.
Failure to provide complete information may affect diagnosis or treatment outcomes.
Vets Let’s Travel cannot be held responsible for complications or reactions arising from undisclosed information.
Liability and Insurance
Vets Let’s Travel carries Public Liability and Professional Indemnity Insurance covering all services performed by our staff.
We are not liable for:
- Events or conditions beyond our control (including weather, traffic delays, or third-party actions).
- Pre-existing or undiagnosed health issues that affect treatment results.
- Injury or stress caused by animal behaviour or owner handling.
- Financial or consequential loss beyond the amount paid for the specific appointment.
Our total liability is limited to the total amount paid by the Client for the service in question.
Client Responsibilities
The Client agrees to:
- Provide accurate contact, address, and pet information.
- Ensure pets are restrained or safely contained before the appointment.
- Follow veterinary instructions and aftercare guidance.
- Treat staff with respect and professionalism.
Failure to meet these conditions may result in cancellation without refund.
Prescriptions and Medications
All prescriptions are issued according to UK veterinary medicine regulations.Repeat prescriptions may only be provided if your pet has been examined by a Vets Let’s Travel veterinarian within a reasonable timeframe, in line with RCVS guidelines.
Clients are responsible for following dosage instructions and storing medications safely.
Data Protection and Privacy
We comply with the UK GDPR and Data Protection Act 2018.
All personal and medical information collected during the booking or treatment process is stored securely and used solely to deliver veterinary services and manage client relationships.
We do not sell or share client information with third parties, except where required for clinical referrals or legal compliance. For full details, please refer to our Privacy Policy.
Photography and Marketing Use
We may occasionally take photographs or short clips for educational or promotional purposes. We will not photograph identifiable clients or private properties without prior written consent.
If you prefer not to be included in any promotional materials, please inform us before your appointment.
Force Majeure
We are not liable for delays or failures to perform our services due to events beyond our reasonable control, including:
- Severe weather conditions
- Vehicle breakdowns
- Road closures or traffic delays
- Public health restrictions
- Natural disasters or power outages
In such cases, we will make every reasonable effort to reschedule appointments without additional charge.
Complaints and Disputes
We aim to provide high-quality service and client satisfaction.
If you are unhappy with any aspect of our service, please raise the issue directly with the attending vet at the time of the appointment. Formal complaints must be submitted in writing within seven (7) days of the visit. We will acknowledge and respond within fourteen (14) days.
If a resolution cannot be reached, both parties agree to seek mediation before considering legal proceedings.
Governing Law and Jurisdiction
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or related to these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Amendments to These Terms
We reserve the right to update or modify these Terms at any time. Changes will take effect once published on our website. Continued use of our services following updates constitutes acceptance of the revised Terms.
Entire Agreement
These Terms, together with any written correspondence or quotation, constitute the entire agreement between the Client and Vets Let’s Travel.
No other verbal or informal agreements shall apply unless confirmed in writing.
